Employee Referral Incentive Program (ERIP) Plan Provisions

Effective: June 1, 2015

ERIP Guidelines

All current Laboratory employees are eligible to participate in the ERIP, except as follows:

  • Members of the Senior Management Group (SMG) and employees whose primary job duties include recruiting for the Laboratory are not eligible to receive a referral award.
  • Managers/supervisors/work leads are not eligible to receive awards for referrals within their own reporting structure.
  • Field HR employees are not eligible to receive awards for referrals to positions within their assigned customer divisions/departments.
  • Employees who represent the Laboratory at job fairs and/or college recruitment events are not eligible to receive a referral award resulting from attendance at one of these functions.
  • Anyone who participates during interviews, on the hiring committee, or as a collaborator on a requisition, is not eligible to receive a referral award.
  • The Lab’s talent acquisition team is not eligible to receive a referral award.
  • Referring employees must be an active employee or on authorized leave on the day the new employee starts in order to receive a referral award.
  • Non-employees (e.g., contract workers, Affiliates, consultants) are not eligible to receive a referral award.
  • If two employees refer the same person, the first referrer will receive the referral award if the person is hired.
  • Current or former employees of the University of California are not eligible to be referred.

Eligible Positions

A referral award may be paid only for recruited career, term, and postdoctoral fellow positions.

Non – Eligible Positions

  • A referral award will not be paid for student assistant, GSRA, or limited positions.
  • A referral award will not be paid for non-recruited positions.
  • A referral award will not be paid for anyone who has previously been issued a Berkeley Lab ID number. This includes, but is not limited to, current or previous employees, Affiliates, contract workers, consultants, interns, facility users, trainees or persons providing services through personal service agreements.

Making a Referral

  • To electronically refer someone, please see the detailed instructions.
  • Award payments will be made within one month from the date the successful referral reports to work.
  • Awards will be grossed up for income tax purposes and will appear on the employee’s W2 statement as income earned.
  • Because referral awards do not increase an employee’s base pay rate, the amount of the award will not be included in the calculation of benefits provided for retirement or for AD&D, life, and disability insurance or for overtime payment for non-exempt positions.
  • There are no charges to Divisions or Departments for the cost of referral awards.

ERIP Awards

$500 Regular to fill

  • All non-exempt positions

$1,000 Moderately hard to fill

  • All exempt positions, except those with a career path listed in Difficult to Fill

$2,000 Difficult to fill

  • Career path in Research/Science, Faculty, and Executive

Plan Administration

Human Resources is responsible for the interpretation and administration of the program. The Employee Referral Incentive Program may be changed or withdrawn at any time and without notice as the needs of the Laboratory dictate.
